Privacy Policy

Starter draft, not final legal copy. This describes what the platform actually collects and does today, in plain language, as a starting point for a policy a Nigeria-qualified lawyer should review against the Nigeria Data Protection Act (NDPA) 2023 before it's relied on for real client data.

1. Who we are

MNIGS Nigeria Limited (RC.1045502), Consultants & Engineers, is the data controller for the information described here. Registered office: 11/13 Ezilo Street, Independence Layout, Enugu, Enugu State, Nigeria. Privacy questions: tcpsupport@mnigs.ng.

2. What we collect

To run your Total Care Plan contract and this portal, we hold:

  • Contact details — name, phone/WhatsApp number, email address.
  • Site details — addresses, landmarks, and equipment/asset information at each site.
  • Contract and billing details — tier, dates, fees, and invoice/payment status.
  • Job and visit records — what was done at each visit, technician notes, photos, and generated PDF reports.
  • Notification preferences — which channel (email, SMS, or WhatsApp) you'd like updates through.
  • Portal account details — username and (hashed, never plain-text) password if you have a login.

We collect this directly from you (onboarding forms, the portal, emergency requests) and from our technicians' visit records.

3. Why we use it

To deliver the contracted maintenance service, dispatch technicians and track SLA response times, generate and send your visit reports and invoices, send renewal and billing reminders, and respond to emergencies you raise. We don't use your data for anything beyond running and improving the Total Care Plan service.

4. Who we share it with

We use a small number of service providers to run the platform, each only for the job named below:

  • Neon — hosts our database.
  • Render — hosts the application itself.
  • Termii — delivers SMS and WhatsApp notifications, once enabled.
  • Brevo — delivers email notifications, once enabled.
  • Paystack — processes online card, bank and USSD payments. We never see or store your card details ourselves; Paystack handles that under its own PCI-compliant systems.
  • Cloudflare R2 — stores files such as visit photos and PDF reports once enabled for our account; until then, these are stored on our hosting provider's own disk.

We don't sell your data, and we don't share it with anyone outside this list except where the law requires it (for example, a valid court order).

5. How long we keep it

We keep contract and visit records for as long as your contract is active, and for a reasonable period afterwards for tax, warranty, and dispute-resolution purposes. [A lawyer should confirm the exact retention period — commonly 6 years for business records in Nigeria, but this should be verified, not assumed.]

6. Your rights

Under the Nigeria Data Protection Act (NDPA) 2023, you can ask us to:

  • Confirm what personal data we hold about you and get a copy of it.
  • Correct information that's out of date or wrong.
  • Delete your data, subject to what we're legally required to keep (e.g. billing records).
  • Explain how a particular decision affecting you was made, where relevant.

7. Keeping your data safe

Passwords are never stored in plain text. The site is served over HTTPS. Access inside MNIGS is role-based — for example, a technician can only see their own assigned jobs, and an account manager only sees their assigned clients.

8. Changes to this policy

As we add features (like online payment), we'll update this page and note the date above. Significant changes will be flagged in the portal.
